Key Marketing Advisor Functions
Advising
Your Marketing Advisor will work with you to learn about your website vision, needs and expectations. This will be the foundation of your website build. We bring our expertise in web development and design, and you bring your expertise in your company and products or services. Together, we develop a design plan that meets all of your needs.
Customer Avatar Creation
A customer avatar is a designed “character” who represents your ideal customer. Who will end up on your website, and what will they need when they are there? Creating this avatar will help determine which features your site must include in order to see success.
Advice on Website Sitemap
Your Marketing Advisor knows the ins and outs of building a functional and attractive website. The sitemap is a complete map of every pillar and linked page within your site. We will help you develop this sitemap so that you can anticipate what content you will need to create or hire someone to create.

What Your Marketing Advisor Doesn’t Do
Your Marketing Advisor will never be the person executing the services Distinct is providing. They are here to advise you and ensure the quality of work from Distinct HQ is meeting our standards. Due to this, your Marketing Advisor is limited on what can be accomplished outside of the scope of work provided in this document.

Web Development and Design Services
Here is a list of everything we look forward to doing for our clients:
Advising
Your Marketing Advisor will work with you to learn about your website vision, needs and expectations. This will be the foundation of your website build. We bring our expertise in web development and design, and you bring your expertise in your company and products or services. Together, we develop a design plan that meets all of your needs.
Customer Avatar Creation
A customer avatar is a designed “character” who represents your ideal customer. Who will end up on your website, and what will they need when they are there? Creating this avatar will help determine which features your site must include in order to see success.
Advice on Sitemap
Your marketing Advisor knows the ins and outs of building a functional and attractive website. The sitemap is a complete map of every pillar and linked page within your site. Content Creation
We have multiple options for content creation. In our standard contract, we will use the content and images that you provide to your Marketing Advisor. However, Distinct HQ is able to provide additional contracted content work if you desire.
Stock Image Selection
If you do not have images available, Distinct HQ will select stock images to include on your site.
Domain Management
Distinct HQ will manage your domain for you. Once your website is live, we will handle the website hosting and support.
Assistance With Domain Registration and Transfer
Because we will be managing your domain, you will need to transfer domain management to us. We can help with this process as well as any domain registration needs you may have.
Drafting of a Complete Website
This is the part of the job that most people think about when they think about hiring a web designer or developer. If a semi-custom website, we will walk through a semi-custom intake to capture all needed information that will go on your site. Additionally, we will review our template website from our portfolio to see which one you like the most to implement. If a fully-custom website, we will walk through our custom intake to capture all needed information that will go on your site. This intake is a bit more complex since it is a fully-custom site. The drafting/planning process is much longer for custom.
After the planning process, we will draft a website based on our discussions and your submitted content, and you will have the opportunity to review the content to ensure we implemented it correctly. Once you approve of the website, we will launch the website. Any future updates to your website is contingent upon your website maintenance package (ie. if you manage your website under self-managed or if we do in managed/growth/team). If we manage all your updates, all edits that take under 30 minutes (ie. replacing an image or moving something) is free. Anything over 30 minutes (ie. adding an application) will be billed at our hourly rate.
Implementation of Website Design and Testing
Once you have approved the design, Distinct HQ will implement the web design and then put it through strenuous testing so that it can go live without any problems or concerns.
Website Dashboard
Our website dashboard includes statistics of your website to help you see how many visitors have engaged with your site. Additionally, all form responses will be included.
What You Need to Do
Because web design is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:
- Completing the intake process before any content is submitted to the design team.
- Providing content in a timely manner, including logos, copy, images, colors, fonts and other brand assets.
- Providing written content (copy) in the exact format you want it to be used on the website.
- Signing an additional copywriting contract if you want us to create the content for your site.
- Using the tools outlined by Distinct for content phases and the review process.
- Providing high-quality images for the website whenever possible or accepting our use of stock images.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients.
We do not make changes to the design after your approval. We also do not make changes to the developed website if they were not outlined in the original or approved design. We only use the content you provide unless you purchase additional copywriting services.
Local SEO Services

Consulting on Target Audience
One of our first SEO conversations will be to help you determine your target audience and draw them to your website. This includes your customer avatar and your service radius. This will ensure that your SEO goals are attainable and profit-focused.
Consulting on Local SEO Goals
What are your company’s SEO goals? We will help you develop clear, measurable goals for both short-term and long-term SEO success.
Updating Google My Business (GMB)
Distinct HQ will update the GMB directory, one of the most important keys for successful SEO, on your behalf.
Optimizing, Scheduling and Publishing Photos to Your GMB Profile
Your GMB profile will be current and updated because we will optimize, schedule, and publish photos that will help drive SEO.
Optimizing and Syncing All Profile Data
Distinct HQ will ensure that all of your profile data, from all major listings across the internet (Google, Facebook, Yelp, etc.), is fully optimized and synced, ensuring that your company information is relevant and current and that it directs customers to the right places on your website.
What You Need to Do
Because SEO management is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:
- Working with a marketing advisor to complete a local SEO intake form.
- Provide us access to your Google My Business.
- Providing photos or content prior to a new month of service. Distinct will use content from website or stock content if no images are provided.
- Providing templates for review responses.
- Providing all requested information in a timely manner (ie. listing of hours, address, products, services, FAQ, menu, or other reliant information). When anything is updated, communicate changes so we can keep your digital information accurate.
- All updated client guidance submitted by the 20th of the month can be used for the following month’s content. Additional submissions can be implemented at our current hourly rate.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on SEO management.
We do not take photos for our clients, as clients are expected to either provide photos or accept the use of stock photos. We also may take photos from your website and social media to use in SEO content.
We also do not present individual posts for approval. Instead, posts will be based on the themes of your website or on a recurring theme that you provide. We will only respond to posts if we have a response template.
Google Workspace Set-Up

Setting Up Your Google Workspace Email Account Profile
Google Workspace has functional usability across multiple platforms, making it possible for you to unify your email, calendar, presentations, spreadsheets, YouTube, and more. We will help you set up your Google Workspace email account profile specific to your needs.
Migrating Emails
Distinct HQ can migrate your email from your previous provider to Google Workspace if you need us to.
Providing Super Admin
We will provide your organization with as many Super Administrators as you need on your account.
Consulting on Google Workspace Strategy
Your Marketing Advisor can help you and your team effectively utilize Google Workspace to its fullest potential, we will consult with you on your Google Workspace strategy. This will help you determine administrative roles, app integration, calendar management and much more. Your Google Workspace strategy should help you streamline your business operations and increase your productivity. We can help make that happen.
Managing Billing and Account Limits
We will manage your billing and increase/reduce account limits as needed.
Providing Google Workspace Training
We will provide training documentation that can be used by your whole team to ensure that everyone is able to utilize Google Workspace successfully and to its full potential.
What You Need to Do
Because you will be interacting with Google Workspace daily, there are things that you will need to be prepared to do when contracting with us. These include:
- Managing, adding, removing, and editing your own users.
- Troubleshooting issues with any third-party email providers such as Apple Mail, Outlook, Windows Mail, etc.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on Google Workspace management.
We do not provide support to any third-party email tools such as Apple, Outlook and Windows Mail. (We do support Gmail.com and the official Gmail app). We don’t add, remove or edit users, and we do not provide comprehensive IT support for Google Workspace.
Graphic Design
Here is a list of everything we look forward to doing for our clients:
Providing Graphic Design Services
Your marketing advisor will guide you through the graphic design intake process. Once completed our Distinct HQ will execute the design and provide the design to you for one round of feedback. Additional feedback or change in scope can be accomplished at our current hourly rate.
Submitting Graphic Design for Client Approval
After we have gone through the drafting and revision process, we will provide you with a graphic design for final approval without watermarks.
Producing Finished Product
The finished product we create will be compatible with your branding and preferences.
Providing Options for Additional Design Projects
We are happy to work with our clients to establish the scope and pricing of graphic design projects that go beyond a one-time request. We are happy to handle as much or as little of your graphic design needs as you desire once we have decided on scope and price.
What You Need to Do
Because graphic design is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on graphic design.
We do not make changes to the project after final approval from the client. We cannot guarantee delivery by a specific date, although we are happy to discuss general timelines with you. We do not produce extensive graphic design services for a website unless you have purchased a web design package from Distinct.
Copywriting
Here is a list of everything we look forward to doing for our clients:
Copywriting Services
Distinct HQ will provide high-quality copy content for your website, blog and other company literature. Our contract charges by word count, and you can determine the right amount of copywriting for your company and budget.
These services are provided based on the scope of work that you give us at the time of our agreement.
Revising Copywriting to Your Needs
We provide one revision of our copywriting based on your feedback and comments. This ensures that you are able to provide input in the copywriting process. We define a revision as the total amount of feedback you submit to us within one submission. Additional submissions can be made billed at our current hourly rate.
Providing Monthly Copywriting Packages
We are happy to provide you with a monthly copywriting package to ensure that you have regularly updated, relevant content for your print and online needs.
What You Need to Do
Because copywriting is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:
- Providing clear instructions about what you are looking for before the work begins.
- Completing any necessary revisions beyond the first revision that we will do for you.
- Complete our copywriting intake form.
- All updated client guidance submitted by the 20th of the month can be used for the following month’s content. Additional submissions can be implemented at our current hourly rate.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on copywriting.
We do not make multiple revisions to any piece of copywriting. We also don’t provide copywriting services on projects such as web design unless you have purchased a copywriting service agreement with us.
Marketing Email
Here is a list of everything we look forward to doing for our clients:
OPTIONAL - Automated Blog Emails
We will set up a feed to post new blogs to your email list automatically on a schedule. If you opt-out of this service then blog posts may be incorporated into the following month of email marketing manually. We suggest this being a monthly or twice a month schedule to keep your audience engaged.
Create Two Email Templates For You To Use
Distinct HQ will create two email templates in your first month to use for future emails. Distinct will create two additional email templates each year for further use.
Each month your emails will be presented in each template for you to select one option.
Write The Content Of Your Email
Distinct HQ will draft the content of your email based on your content provided to support during the prior month along with other relevant information collected on your website.
Creating Marketing Email to be Sent In Zoho Campaign
Distinct HQ creates marketing emails and templates based on your company’s persona and services. These emails and templates are crafted to be used in Zoho, which provides you with useful analytics to help you measure the success of your campaigns.
Scheduling Your Marketing Emails
Distinct HQ will take care of the scheduling of email campaigns, including importing your list of contacts one time per year if needed. Scheduled email campaigns keep you on track with your marketing.
Selecting Relevant Stock Photos
If you don’t have specific photos to use in your emails, we can select relevant stock photos to match the email’s purpose and goals.
Providing a Revision of Each Email
Before we send anything out, we will provide you with a draft of the email, which you can either approve or respond to with feedback. We will do one revision of each email. Additional revisions and content changes can be serviced at our current hourly rate.
Giving You Access to Zoho
You will have access to Zoho, where you can make additional revisions and edits and drive your own email campaigns as you desire.
Including Client Logo, Social Media Links and Contact Info
Your email will be personalized not just in terms of content but also in the inclusion of your client logo and social media links, which will direct email recipients back to your website and social media platforms.
We will also include your contact information in the footer so that people can reach out to you easily once they get your email.
We will import a .xls or csv document with the following. Each must be in it's own column. Outside of this, hourly work applies.

- When you're updating your website you can provide specific content and images if desired and indicate that you'd like them included in your marketing email.
- Making additional revisions beyond the first revision that is included in our marketing email agreement.
- Completing our marketing email intake form.
- All updated client guidance submitted by the 20th of the month can be used for the following month’s content. Additional submissions can be implemented at our current hourly rate.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on email marketing.
- We do not make multiple revisions to any email.
- We don’t take original photos for your emails.
- You will need to provide images or allow us to select stock photography.
- We only will import contact lists once.
- We do not include content in emails that is time-sensitive within our monthly package.
- We are able to provide affordable services by having a constant flow of work for our team to complete in the order it is submitted. Because of this, we are unable to include items like special events or deals in our emails. However, we can include areas that link back to your website with the most up to date information.
- We do suggest having us post on general topics that lead back to your website where we can ensure content is accurate. For example:
- Instead of Distinct scheduling an email that says “Check out our fish taco special this Monday!”
- Distinct would include “Did you know we have weekly specials? Click here to see what specials are available!”
Social Media Posting
Here is a list of everything we look forward to doing for our clients:
OPTIONAL - Automated Social Discovery
We will set up a feed to post new blogs to your social media automatically when posted. If you opt-out of this service then blog posts will be incorporated into the following month of social media manually.
Creating and Scheduling Client’s Social Media Posts
You can take the guesswork out of what to include in your social media posts or when to post them to each platform. We will create and schedule your posts so that you don’t have to worry about it. We schedule your content for maximum visibility and traffic.
Social media posts will be scheduled each business day of a month focusing on brand strategy, customer persona, and overarching goals

Included in your monthly subscription is full access to our social media tool. This is where we will create your posts. You can also use this tool however you would like.
Selecting Stock Photos and External Articles
If you provide us with company photos and external articles to link to, we are happy to include those. However, we also can select stock photographs to include as well as relevant external links.
Maintaining Brand Tone and Values
Social media is about building your brand and telling your story. We ensure that your brand tone and values are consistently communicated throughout all of the posts we create for you
Accounting for Major Holidays
We will account for all major holidays so that your posting schedule makes sense and takes into consideration the holidays that are most frequently celebrated, especially by those who follow your brand. This is the list of Holidays we will include. Please notify your MA if you choose to opt-out of these holidays.
Allowing Post Reviews
We want you to be confident that our posts align with your goals and social media presence! That’s why you can review our posts before we send them.
What You Need To Do
Because social media management is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include
- Editing or deleting any posts that you don’t feel fit your brand or you don’t want to use for any reason.
- Providing feedback to Distinct for future posts.
- Responding to post engagements to ensure that your followers feel heard.
- Completing our social media intake form.
All updated client guidance submitted by the 20th of the month will be used for the following month’s content. Additional submissions can be implemented at our current hourly rate.

What We Don't Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on social media management.
We do not make edits to any created posts, although you will have full access to edit and create posts on your own using our platform. (If you have feedback on any of our posts, please direct them to your marketing advisor.)
We also don’t reschedule posts that have already been created or reply to post engagements on your company’s behalf.
We do not include specific events or topics that might change - for example:
- A specific event
- A specific special that might expire
- A service or menu item that may not be available.
- We do this so that we can eliminate back and forth for rapidly changing topics in order to save you money.
We do suggest having us post on general topics that lead back to your website where we can ensure content is accurate. For example:
Instead of Distinct posting “Check out our fish taco special this monday!”
Distinct would post “Did you know we have weekly specials? Click the link below to see what specials are available!”
Retargeting

Our graphic designers and content team will create excellent content for your retargeting posts. This ensures that people who visit your website are reminded of your products or services in the days and weeks to come.
Editing and Improving Graphics as Needed
If your existing graphics need to be improved or edited, we will take care of that for you to ensure that every single post is consistent and visually pleasing.
Setting Up Advertising Campaigns and Choosing Targeting
Our experienced social media advertising team will determine the best strategies for your current campaign and choose all relevant targeting. This retargeting is precise and effective so that you can reach the ideal audience.
Engaging in Geofencing

What We Don’t Do

After the initial approval of an ad, we will not gather ongoing approval for ads or their targets. Ads are updated regularly based on analytics, which means it is not feasible to provide constant opportunities for review without additional fees for the client.
Social Discovery Ads
Here is a list of everything we look forward to doing for our clients:
Boosting ALL Facebook Posts
We boost all Facebook posts on your page for four days without exception. This increases your engagement and visibility on the platform.
Targeting Primary Audiences for Boosts
Boosting ads works best when it is intentionally targeting a specific audience. We will target the primary audience for each boost.
Analyzing and Optimizing Marketing Spend
Based on data-driven analytics, we will analyze and optimize your marketing spend. This will ensure that you are spending the perfect amount on ads: enough to build engagement and drive traffic without overspending.
What You Need to Do
Because social media ad posting is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:
- Providing the daily budget for the boosting of ads.
- Completing relevant intake forms.
- Additional submissions can be implemented at our current hourly rate.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on posting social media ads.
We will not exclude any posts from our boosts, so there is no risk of any post going unboosted. However, please note that this means that ALL posts will get boosted, no matter their purpose. We will not exceed the budget you provide.
Google Paid Ads

Our ad graphics and content are designed to drive traffic to your site, and we create those graphics with your specific needs and targeting in mind.
Editing and Improving Graphics as Needed
If any of your existing graphics need to be edited or improved, we take care of that for you. This ensures that your brand is represented consistently across the Internet, Google and Bing ads, and social media.
Editing and Improving Copy as Needed
We can make edits and improve any weak or ineffective copy as needed.
Setting Up Advertising Campaigns and Choosing Great Targeting

Content Edit Request Instructions and Best Practices
We are committed to providing exceptional service for your website. We
understand your site will need updates and edits and our team is here to help,
24/5. All you need to do is send us an email and our team will take care
of it for you.
In order for our team to be as efficient and accurate as possible, there are a few
best practices we’d like to share with you:
Send all requests to assist@becomedistinct.com
- Each request should be a separate email.
- Please do not send a list of edits to be completed. When there are multiple edits in one request it can create a bottleneck and have a negative impact on our efficiency.
- Instead, send one edit per email
The subject of the email should include your domain and a simple subject that captures the essence of your request.

Examples:
business.com - Fix font on plans page
business.com - Gallery posts

Include as much information as possible.
Things like screenshots, detailed descriptions, error numbers, videos, etc. — the more information you
include the less chance for a lot of back and forth.

If you are sending in a written copy that you would like posted/updated, please be sure
to include it in a format that we can highlight, copy, and paste — not a screenshot or
image.

Remember to include any files that you would like uploaded. Things like images,
recordings, etc.
Lead with kindness!
Remember, there are actual people receiving
these requests and completing them for you.
A kind greeting or a word of appreciation can
go a long way.
VIP Website Support
A team is ready 24/7 for any emergency website requests that may arise. This team will not be as familiar with your brand and marketing goals, but they are ready to work in a pinch on time-sensitive requests. If you have a VIP website support subscription you can email VIP[at] becomedistinct.com.

Providing Secure Servers
We provide our clients with secure servers that meet all of your web hosting needs. If you need to scale up your hosting because of an increase in traffic, we can manage that through our high-quality servers.
Regularly Updating Our Servers
Because we regularly update our servers, you can be confident that your website is secure and reliable. Your viewers will encounter a pleasant browsing experience because our servers are updated and effective.
Backing Up Client Sites
We make periodic backups to our clients’ websites, which helps to protect you from technology failures.
Responding Promptly to Any Hosting Issues
If you run into any web hosting issues, we respond promptly to resolve the problem and get your site back online and fully functional.
What You Need to Do
Because web hosting is a collaborative process, there are things that you will need to be prepared to do when contracting with us.
Please provide us with prompt notification if you encounter any web hosting concerns or if you need to make a change related to your web hosting.

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on web hosting.
We do not regularly update the client site unless a website maintenance package is purchased (please see details below). We also cannot guarantee 100% uptime, although we do provide an excellent hosting service to ensure minimal problems.
Website Maintenace Packages
Overview
All Web Maintenance Packages include a website, your dedicated marketing advisor, access to trainings, a client portal, and a business networking group.
However, there is 1 major difference between our 4 packages. Most of our packages include us managing your website and executing any updates that are needed. Only one of our packages, our cheapest, has you self-managing your website and executing your updates yourself.
All other packages include us executing any updates the website needs. However, these packages differ in which digital marketing services are executed to help your business increase its digital presence.
Self-Managed
That one package is our self-managed package, which contains all that is included as described above but all updates/changes to the website are done by you, the client. We still host your website on our servers, but if you want any updates, you will have to learn how our website platform works through our trainings to update the website yourself.
Managed
The managed package has us managing all your needed website updates, we manage the security of your website by ensuring there are no threats and that all your info is protected, and once a year we will audit your website in order to improve it for the best look and feel for conversion purposes (ie. improve descriptions for clarity &/or change content structure to increase conversion & engagement).
Growth
The growth package includes everything stated previously plus a social media dashboard to help manage your social media presence, support to help with using the social media tool, social discovery advertising to boost your already-posted social media content towards other users who are not following you already and who may be interested in your content (please see social discovery ads, found above). Additionally, we offer Local SEO services to help improve your ranking on search engines, ensure your business info across the internet is accurate, and help you to be found more easily. Additionally, we offer the option for us to respond to reviews about your business for you! This is our most popular!
Distinct Team
The Distinct Team package includes everything stated previously alongside other digital marketing options at your service. This package is the only customizable one that ranges in services and pricing. Some additional services we can do for you is writing monthly blog posts that are aimed at improving your SEO, an analytics dashboard that displays your most needed data, the option to create however many graphic designs you may need, the option for us to create and post social media content for you, the option for paid ads to boost your conversions through Google, Facebook, and other routes, and the option to create brand guidelines.
What You Need to Do
Because website maintenance is a collaborative process, there are things that you will need to be prepared to do when contracting with us. These include:

What We Don’t Do
There are a few things you need to know that fall outside of Distinct’s responsibilities when working with our clients on Zoho's CRM.
We will not be responsible for your business’ day-to-day use of Zoho's CRM, and we also will not troubleshoot concerns once the CRM is up and running. You will work directly with Zoho for any troubleshooting needs.
Currently hourly rate is $75/hr
